Planning a Hallett trip, Sept 29th.

Yes, I know it's a weekday. Yes, I know it's 5 hours away.

Plan accordingly.

I'm looking into setting up a Hallett lapping day once the weather cools off. Cost will be in the ~$150/person range. I seriously doubt we can get it any cheaper, but I'll let you know. Figure $150 for now.

Who would be interested in running? There would be 5 cars on the track at a time, and you'll get AT LEAST 5 20 minute runs, if not more. Once we have a firm count, we can figure out the actual details (direction, time on course, etc).

This date is NOT FINAL, but I'm definately aiming for a Thursday in late Sept, early Oct.

FWIW, the more cars we get, the cheaper it will be.... 20 cars would be where I'd like to cap it (and what I'd like to get up to)

If all goes by plan, it should be $1200 for the track for the day... How many that's divided by is up to us.

Not quite:

The webpage states:
RENTAL FOR TEST DAYS
Day Price
Monday & Friday $2,000.00
Tues-Thursday $1,000.00
Saturday & Sunday $2,500.00

Price includes 5 cars. Additional cars are $100.
So I read that to mean 10 cars would cost $1500 + corner workers. I'm still awaiting verification of that.

"5 cars" means 5 cars ON TRACK at the same time... they don't care at all how many people you've got milling about in the paddock...

They don't care if you run 20 sessions with the same 5 cars, or 5 sessions each with 20 cars.. It's the same amount of cars on track and the same track time

Ok, I just got off the phone with Hallett. They are cutting us a deal and dropping the $100 per car requirement. So, the total will be ~$1200 for the whole deal divided by the number of drivers.

As a result, I'm capping it at 20 cars- four run groups at 20 minutes each. Five cars out at a time. As many sessions as light will allow.

I will have the contract early next week, but as far as I'm concerned, this is a go. If it just ends up with Eric and I... Well, that would kinda suck.

Once I get the contract signed, I will give you my Paypal address so you guys can Paypal funds.

I've run Hallet on both... Both are fun!

Honestly though... Hallett seems to be relatively easy on tires from when I've run there?

Or maybe that's me being cautious around tire walls?

I'd say you're correct, since Hallett has no grip to speak of.

Of course, I was breaking in a motor the only time I was there, so I wasn't being very hard on the car (of course, I ended up with a 2nd place finish... ).

When will you need to know by? I'll come if I don't go to the Runoffs. I am completly rebuilding my car's suspension, braking system, and other misc stuff. I will either have it done by the runoffs or take my time and be ready for testing by then.

Good question:

The paperwork is in the mail, so I should have it by early next week. At that point, I'll start accepting Paypal payments to reserve spots. It's capped at 20, so the earlier the better.

I am planning on making it a $60 nonrefundable deposit (the cheapest the rental will be) and people will be required to bring the difference if we don't get 20 cars. I think that's fair?

Hallett paperwork

Ok, the paperwork arrived and it's not nearly as cheap as I had hoped.

True, it's only $1000 for the track, but it's also:

$70/hr for an ambulance. (don't wreck- I'm not paying that)
$30/hr for a wrecker (don't wreck)
$65/day for corner workers * 8 corners
$15/hr for the gate security guard (this **** better come with free beer for that price)
$5 per tire PER CAR for "track resurfacing fee". Ie, 20 cars * 4 tires * $5 = $400.

So, based on a 20 car limit, this comes out to:
$1000 + 65*8 + 15*11 + 5*4*20 = $2085
Or a total of ~$104 per person.

So, here's the deal: I must have $500 secured by the 15th for this to be a go. Which means I need 6 people (five others plus me) to submit their $104 deposits to me by that date.
Payment can be arranged via papal (umrswimr@hotmail.com) or via check (PM me for address). This payment is FULLY REFUNDABLE if 6 deposits are not obtained. Once the track deposit of $500 is paid, there are NO REFUNDS. I don't want to get stuck paying the tab if somebody flakes out.
In the event that 20 cars are not signed up, I will need everyone to pay the difference made out to Hallett. We'll address this if/when it occurs.

$104 up front I have no trouble with, but as flaky as this crowd can be I'm concerned about 20 cars showing. I don't want to make a deposit and then get to eat everyone else's fees too because I was nice enough to sign up early.

You're going to have to branch out to be certain you've got 20 cars. No way you'll get 20 from DFW up there. I think the MSR days maybe had 20; don't see that many people driving to OK.

Keep in mind I'm posting on four different forums right now. I have 8 people who claim they are "solid". Ten people makes it $200 each. I find it hard to believe we can't score ten people.

That's good news but it doesn't count until everyone shells out some dough. I've organized stuff like this before and count on about half who say they are gonna to actually gonna. It's true of any large event.

I know the feeling. My FD is sitting in the driveway after blowing all the coolant out and the FB ate the rear rotor bearing. I can't get the stupid flywheel off on the new engine for the GSL-SE. Got the nut off no problem, the flywheel was a different thing.

I would love to join in, but I simply cannot afford it.
There are ways to help lower the overall cost, such as bringing people to help as corner workers, or having your own tow truck available. The ambulance on the other hand, has to be present before they can allow cars on the track. Discuss this with them, and you could make it lower cost for everyone, just by having lots of volenteers come along.
The "resurfacing fee" has been a long standing item, and they have done some resufacing to the track, but I don't know the full extent. I have only been there once this year, and it was early in the season. I was told they were planning to do more resurfacing during the year, but I cannot confirm.
